Seeking: Part-Time Office Administrator

Hours: 16 hours per week (as established by the Pastor, but normally 9:00 am to 1:00 pm, Tuesday through Friday); at $25/hour.

Overview:
​
The Office Administrator is responsible for creating an efficient, effective, and congenial office environment that furthers the mission of First Presbyterian Church. They provide:

Valuable and efficient administrative support to the church
-
Support for members and staff
-
Effective communication within the church, between the church and its larger organization (presbytery, synod, and general assembly), and between the church and its members.
The Office Administrator serves as the:
Office Manager
-
Provides effective leadership for all functions of the main office and takes responsibility for assuring tasks are completed in a timely and efficient manner.

Sets the tone for an organized and congenial office environment.
-
Maintains the office equipment and order office supplies.
-
Maintains the Manual for Office Administrator.
-
Maintains church files, including insurance files.
Communication Link
-
Handles e-mail for the church office.
-
Coordinates & maintains the master calendar of church events.
-
Manages building use requests, coordinating with other staff and Building Super.
-
Sets and communicates deadlines for publications and printed material.
-
Attends staff meetings.
-
Assists committee chairs as needed.
Publications/Printed Material
-
Prepares, proofs, and copies bulletins for worship services, weddings, funerals, & special services, including inserts and announcements as appropriate.

Prepares and mails Good News newsletter, coordinates with volunteer helpers.
-
Sends reminders to ushers, Communion servers, Communion service notices.
-
Requests and compiles annual reports.

Provides support on special projects and updates brochures as needed.
Assistant to Session and Membership:
-
Emails reminders to Session of meetings.
-
Assists Session members with use of Google Docs, as needed.
-
Maintains member files and the computerized database.
-
If requested by Clerk of Session, assists with additional tasks, such as maintaining the physical register, recording life events, and preparing certificates.

Helps answer church members’ questions about the budget.
Miscellaneous
-
Updates website regularly in conjunction with program staff.
-
Prints updated directories and other congregational materials as requested.

Takes care of Memorial Garden requests as needed and order bricks.

Performs other administrative tasks as requested.
Minimum Education and Experience:
-
An Associate’s Degree or at least four years of relevant experience.
Knowledge, Skills, and Abilities:
Knowledge: Office Administrator must have willingness to acquire a general understanding of the congregation and its ministry.

Provides effective supervision of volunteers for office-related work.

Skills:
-
Familiarity with Microsoft Office, including Publisher.

Excellent proofreading and editing capabilities.
-
Desktop publishing and Web design experience/training helpful.

Working knowledge of office machines.
-
Excellent attention to detail.
-
Working knowledge of database entry and use.

Evaluation:
​

Performance and compensation reviews will be conducted annually by the Pastor and shared with the Personnel committee. The employee may elect to have their Personnel committee Liaison present for the meeting. * FPCI is an at-will employer.
